President Bob Flach brought the regular meeting to order at 7:45pm at JW's.Harvey, North Dakota
MEETING MINUTES Secretary's report was given. Corrections to minutes were made listing Julie Weisser, Jean Walter and Dale Opdahl as current directors. List of proposed projects includes hauling rock to widen driveway/parking area. Jess made motion to accept, seconded by Kathy. Treasurer's report was circulated and presented by Kathy Flach. Checking balance stood at 2,697.63 and savings at 10,395.98. Lonnie made motion to accept, seconded by Jeff. Memberships are due and payable to treasurer in the amount of $22.50/single and $35.00/family. There has been no change in dues amount for many years. Due to changes in events held, we did not need/use state or county alcohol sales permits in 2011. $150 was paid out for the two. Rick made motion we discontinue applying for permits. Lonnie seconded. Motion carried. Directors were unable to attend or bring nominees to the meeting. Jeff moved we postpone the election until February. Shirley seconded. Motion carried. PLEASE PREPARE FOR ELECTION FEBRUARY 9, 7:30PM AT THE EAGLES CLUB. Improvement projects were discussed. Rural water access comes to the grounds east of our building and we would incur a base cost of approximately $30/month plus gallons. General consensus was that it may not be feasible considering we hold only 1-2 events per month. Kathy was designated to inquire as to actual cost for curb stop hookup and contractor fee to bring water to building. Lonnie spoke with Larry VandeHoven who built Carrington's bucking chutes. He was quoted $4000/chute for materials and labor. We would need at least 3 if we continue to host the youth rodeo. David suggested we build them out of treated wood or ties rather than steel. Previous chutes found online were sold or donated elsewhere before we could respond and funds were not available at the time. Members are asked to scope out what may be available online as well. Purchase of electronic timers was discussed. Bob will ask Steve Wangen if his may be for rent. Saddle Club Building – Jess proposes moving the sink/counter further south. This would create more room outside the kitchen for meetings or eating area and prevent unwanted traffic through kitchen. Plumbing options were discussed as to how to move the water supply/drain. Bob proposed we insulate ceiling and hang an electric heater. It was proposed that concrete could be poured just one section at a time about 3 1/2 inches thick at south side outdoor cooking area to prevent mud and dirt tracking into building. Rick has our grounds on the Fire Department's list for a spring burn west of the arena to get rid of cattails and undergrowth. Standing water has prevented us from mowing or using it for parking. David Geier suggested we improve our driveway and trailer parking area with crushed rock. It was mentioned we could contact Dave Lautt for a land roller to pack it. Jeff Pepple has been asked to find a company willing to insure our club building. As it is vacant most of the year, the risk exposure is hard to find a market for. We have a substantial amount invested and need to be covered in the event of perils such as fire and vandalism. Lonnie spoke with Robin (Glen) Anderson who applauded us for putting on the most efficiently run Youth Rodeo of any they attended at any other location last year. They were impressed with our facilities, food and the amount of help we provided with the stock and keeping the events moving. NDYR hopes we will agree to host it again this year. Lonnie brought Robin's request that we consider hosting a Junior High School Rodeo August 18/19 which could be split with a day at each of 2 locations as an option. Kathy reports we have a new employee at the Harvey Chamber of Commerce. There is hope she will work with us to promote our events to local businesses. Kathy will invite her to our next meeting.
